Are medical office information systems really worth the investment in time and money?

The value of the system is dependent on both the quality of the tool and the performance of the users. Chosen and used well, information systems can dramatically improve the performance of medical practice goals by enhancing efficiency, reducing errors (costly rework) and providing the data needed for sound business and clinical decision making. MED3OOO believes in the power of data in the operation and improvement of medical practices.

Why do I need the MED3OOO M3/IQ™?

Medical information systems have traditionally focused on data input without providing access to the valuable management information which should be the system output; without this information, practice managers have estimated performance levels or spent hours analyzing and reporting information manually. The MED3OOO M3/IQ™ offers physicians, hospitals and health systems the opportunity to use the data generated by their medical practices to manage and improve those practices on a daily basis – “evidence-based management.” Standard and customized reports summarizing key indicators of performance and “drill down” capability for answers to specific questions are valued offerings of the MED3OOO M3/IQ™.

Why are MED3OOO’s reports better?

MED3OOO designs reports to be used for decision-making, planning and improvement with the input of clinicians, practice management professionals and our team of operational experts. The years of experience and the diversity of perspective provided through this approach enhances the content, formatting and value of MED3OOO reports. The MED3OOO M3/IQ™ reports include:

  • Standard Reports facilitating practice management including billing and practice performance measures.

  • Custom Reports for performance improvement initiatives and key indicator monitoring.

  • Decision Support Reports providing information required for planning, marketing and growth opportunity evaluation.

  • Care Management Reports aiding physicians in planning, implementing, documenting and assessing the results of clinical initiatives designed to improve patient care.

What is an ASP?

An Application Service Provider or ASP is a company that offers other businesses, in our case physician practices, access to needed information systems without requiring the high initial capital outlay associated with the purchase of minimum numbers of software licenses, large capacity servers and other expenses by “leasing” the physician space on the ASP server. The physician leases the level of access needed and may adjust service levels in the future. Pricing is generally scalable to the level of use.

[Back to List]

Why is it better to lease a system through an ASP, than to buy a system?

The decision to use an ASP or purchase an information system depends on many factors. The advantages of an ASP arrangement include:

  • Avoidance of capital outlay – lease vs. buy.

  • Outsourcing of Information Systems functions including security, upgrades and system maintenance.

  • Scalability to the current needs of the practice.

  • Flexibility to expand or contract services with the practice’s needs.

  • Redundancy and off site storage for protection against data loss and system failure.

  • Built in access to implementation and training support.

How do MED3OOO healthcare technology services differ from a typical ASP?

At MED3OOO we are operators and technology experts who strive with you to successfully operate your practice and improve performance. Unlike a typical applications service provider (ASP), we understand the practical application of technology in the day-to-day functioning of a medical office and unlike practice management operators we have produced positive outcomes through the precise application of technology.

[Back to List]

Why is MED3OOO the best choice for practice management technology?

MED3OOO uses the technology it recommends in the operation of successful medical practices around the country every day. This experience as an “operator” provides MED3OOO with a user’s perspective not available to other technology vendors and ensures that we are continuously testing and improving every tool we offer. The value of our experience is passed on to our customers.

Why is scalability of my information system valuable?

Information System scalability is a service access and payment approach available to MED3OOO’s ASP customers. It increases flexibility and allows a medical practice to respond to change more effectively than does an information system purchased from a vendor. MED3OOO’s scalable services allow customers to use and pay for only the level of service they need during a given period. Purchased information systems and their associated fixed payments lock a practice into a fixed level of service and cost.

If a physician in solo practice today selects a scalable ASP from MED3OOO and plans to grow her practice to five physicians in the future; she can purchase the services she needs now and add services as she adds providers and system users. Conversely, a large practice with scalable ASP services, facing the need to cut cost, may reduce the level of service it buys. In these cases, information systems purchased from a vendor would have required acquisition of additional licenses and server capacity at fixed levels for growth or continued payment at previously agreed amounts regardless of use, both limiting the medical practice’s ability to manage access and cost.

How does MED3OOO select systems and other technology to use in practice management?

MED3OOO has evaluated medical practice information system vendors and products for quality, continuous improvement/updates, stability, support and many other factors to determine which could best meet the needs of our medical practice customers. Additionally, we have implemented and enhanced support technology including electronic health/medical records (EHR/EMR), telephony systems and handheld applications in practices across the country. MED3OOO configures the top products identified through our own use into customized models to address the specific requirements of each practice.

Where is the data stored and how can I access the information I need?

Data that enters the system is stored on MED3OOO servers and for those clients who have opted to use the MED3OOO M3/IQ™ key data elements are loaded and used for analytical purposes in the MED3OOO M3/IQ™.

Access to data held in the MED3OOO M3/IQ™ is available through standard and customized clinical, service and financial performance reports. Each practice using the MED3OOO M3/IQ™ has the option to develop skilled users among their own staff or rely on MED3OOO for technical support including custom report writing. Standard reports are run monthly and custom reports may be created and produced at anytime.

[Back to List]

What are the costs associated with MED3OOO’s healthcare technology systems?

Signing an ASP agreement with MED3OOO will result in a monthly fee at an agreed rate for a specified number of users. The fee will generally include software, system support hardware, implementation, maintenance, upgrades, repair and security; the practice is responsible for site hardware, network connectivity, training and telecommunication costs.

Purchasing a practice management Information system from a vendor will most often include the initial cost of hardware and software with added charges for implementation, training, ongoing license fees, maintenance, upgrades, repair, report writing and any required customization.

[Back to List]

Do I have to install healthcare technology services all at once?

MED3OOO ASP enables practices to increase or decrease the number of users at any time. Supplemental technology services offered by MED3OOO may be added to an existing customers’ information system at any time. Some of these options include EHR/EMR, MED3OOO M3/IQ™ reporting and telephony applications.

How can I be sure I am meeting HIPAA confidentiality requirements?

HIPAA compliance must be addressed within the practice and when data, such as is required for billing, is sent out of the practice. Within the practice, the establishment of compliance protocols, training of staff to implement those protocols consistently and regular monitoring are your best defense against violations. The well established and stable practice management information systems and other applications supported by MED3OOO have invested substantially in safeguards to ensure that data transmission out of the practice is handled in a HIPAA compliant manner. The responsibility for HIPAA compliance is with the medical practice and the ability of any approach to meet requirements should be carefully reviewed.
